Sonido Reports include detailed analytics on your company performance and health. They provide a wealth of knowledge and insights into your audio production efforts and can provide early signals of performance issues that may require attention within your company.
Each of the reports has a slightly different purpose and benefit to you as a studio owner or manager. The reports are all viewable within your Sonido account, but you also have options to export the report data via PDF or CSV format for use outside the Sonido platform.
The following is a brief description of each of the Sonido reports available in your account.
ACTIVE LEAD PIPELINE - The Active Lead Pipeline report provides a comprehensive list of all active leads in a New or In Communication status at the time of generating the report, along with indications of their current stage, creation date, and days since creation. With this information, you can view a full list of opportunities and work from the list to convert your leads to project more quickly, ultimately bringing more revenue to your studio.
CONVERTED LEADS - The Converted Leads report displays all leads that have been converted to a project in a given time period. Some of the details provided include the conversion date, their project quote amount (if created and associated with the lead) and the current project stage.
CLOSED LOST LEADS - The Closed Lost Leads report displays a list of all leads that have been closed lost in a given time period. Some of the details provided include the date created, the closed lost date, the project quote amount (if created and associated with the lead) and a closed lost reason. The closed lost reason can provide valuable insight into why leads are not moving forward with your services, and you may have an opportunity to change processes to convert more leads over time.
REVENUE - The Revenue report displays a list of all revenue generated in a given time period based on payments collected on invoices. Some of the details provided include the project name, total revenue per project, total revenue overall, and a month over month view of revenue generated.
MONTHLY REVENUE - The Monthly Revenue report is similar to the Revenue report, but displays total revenue month over month from a monthly perspective rather than by project.
OPEN INVOICES - The Open Invoices report displays a list of all invoices that are currently open with a balance due. Some of the details provided include the project name, invoice number, total invoice amount, date created and the current status. By reviewing the open invoices and comparing by the amount of time an invoice has been open, you have better insights into which need to be closed more quickly and what total amount of money is due to your studio.
PAST DUE INVOICES - The Past Due Invoices report displays a list of all invoices that are past due. Some of the details provided include the project name, invoice number, total invoice amount, date created and the current status. This report provides insights into which invoices must be collected upon more immediately, being past due.
BOOKINGS - The Bookings report displays a list of all studio bookings in a given time period. Some of the details provided include the booking title, who the booking is associated with, the date of the booking and the event type. There's also a month over month comparison of the number of bookings to measure your trending productivity.
SESSIONS - The Sessions Report displays a list of all studio bookings in a given time period, and includes a number of additional filter options for greater flexibility, such as filters for date range, project name, assigned user, user roles, room, and event type. This report also allows you to download a PDF Session Report, containing in-depth details of a session, such as the booking session information, internal participants (i.e. engineer, producer, assistant, etc.) songs that were included in the session, songwriters, and more.
REFERRALS - The Referral report displays a list of all your referral sources in a given time period. Some of the details include the lead name, date created, current status, referral type and quote amount (if created and associated with the lead). This report makes it simple to see where your new business is coming from and what referral sources have the highest close rates and are most profitable.
EVENT ROI - The Event ROI report displays a list of all leads that are associated with a marketing event. Some of the details provided include the event and lead breakdown, lead creation date, the lead status, and related financials (quote, invoice and payment values).
TIME TRACKING - The Time Tracking report displays a list of all tracked time across all projects over a given period of time. Some of the details provided include the project name, the task that time was tracked against, which user tracked the time, the start and stop time, total time tracked, Notes that were recorded for individual time entries, and what the billable hours would be for each time entry (calculation of the total tracked time multiplied by the hourly rate of the task associated with the time). You can filter the report results by project, task and/or time range.
ROOM UTILIZATION - The Room Utilization Report breaks down the total hours booked within each of your rooms within a given time period compared to the total number of business hours. This helps to represent what percentage of time your studio rooms are being used compared to the total hours that you are open.
ROOM RATES & LABOR - The Room Rates & Labor Report shows a comparison of the total room rate and labor involved in each calendar booking. The Room Rate is based on the rate that is populated for Rooms in your account (based on either an hourly or daily rate, depending on the number of hours in the booking); the Labor Rate is based on the user(s) that is assigned to the booking and the User Rate applied to that User record. If multiple users are assigned to a single booking, each will display with their own Labor Rate (based on either an hourly or daily rate, depending on the number of hours in the booking).
REPORT BUILDER - The Report Builder is a customizable report that you can build with the criteria that you would like to see. These reports can even be saved so that you can quickly pull the information on a regular basis.
To create your own report, select the blue "Create New Report" button and select what type of report you'd like to build. You can choose to create a report based on Leads, Contacts, Projects or Bookings. After select the type of report data that you'd like to build, you'll see a list of all possible data points in the left column, which you can add to the report view (right column) by marking the checkbox to the left of the desired data points. In order to preview the data in your report, you'll need to select the yellow "Update Preview" button, after which each of the selected data points will show as a new column in the report preview.
You can also group the results within your report, or filter the results by certain data points that you configure. To group the data, select the "Group By" dropdown above the data points list in the left column and select the data point that you'd like to group the results by. This will update the report preview with a grouping based upon what you've selected.
To filter the data, select the "Filter" tab at the top of the column. You can choose to filter by "AND", "OR" or "CUSTOM" logic - more often than not your would be filtering by AND or OR. From the "Choose a Filter" dropdown, you can select the data point that you'd like to filter by, then select the "Add" button to apply it to the view. You should see the filter display below where you can now select the specific filter parameters to filter that date in your results. Once you have selected the appropriate filter option, select the yellow "Update Preview" button to preview the updated results.
The report preview in the right column does not display all results for the report that you are creating. By selecting the green "Run" button, you can run a full report with all data included, and you can event export the results to a PDF or spreadsheet format for further review and manipulation.
If you wish to save your report with all the parameters that you've set, you can give the report a unique name by populating the appropriate name in the top-left name field. Then, you can select the blue "Save" button in the top-right corner to save the report in your Custom Reports list.
Your reporting and dashboard data will be most beneficial and accurate as you effectively use your Sonido account and regularly enter lead and project data.
