In addition to the Stripe Integration, Sonido offers a physical card reader terminal option for taking in-person payments in your studio. This integration requires the Stripe Integration (payment method) to be active in your account. If you have not enabled the Stripe Integration, please review that setup guide first.
Sonido Software now supports the BBPOS WisePOS E payment terminal, which supports tap, insert and swipe payment options for taking client payments. You can purchase the payment terminal through Stripe directly, or through an authorized reseller.
Once you have the terminal, you can complete the following setup steps to begin taking client payments in-person.
SET UP LOCATION
The first step in connecting is to set up a location. Within your Sonido account, go to Settings -> Integrations and locate the Stripe Integration section. There will be a tab labeled "Stripe Terminal" that you will select. From here, you will see an option for adding a new Stripe Terminal Location, which is essentially your studio. Select the "+ New Location" button.
For "Display Name", populate your studio name or another name that you prefer. Then, fill out the other address details relevant to your studio location and select the "OK" button.
LINK TERMINAL
For the next step, make sure that your Stripe terminal is powered on and active (connected to the internet).
Under the same Stripe Integration settings page as previously referenced, you'll see a section labeled "Stripe Terminal Reader". Select "+ New Card Reader" to connect your terminal. You will need to populate the following details:
- REGISTRATION CODE - This field is found on your Terminal card reader. From the main home screen of your card reader, swipe your finger from the left screen to the right to open the menu. Select the "Settings" option, and if it prompts for a PIN, enter the appropriate numbers (the default PIN for the device is 07139, but this may be different if you or another person has made a change to the PIN). From the list of Admin Options, select "Generate Pairing Code". This will produce three words separated by hyphens. This is the Registration Code that you will populate back in Sonido under the Registration Code field in adding your new card reader.
- LOCATION - Select the Location that you created from the previous steps.
- LABEL - This is a label that you can enter for the name of your card reader. For example, if the reader is in "Studio A", you can call this "Studio A". If it's the only card reader in the studio, you can name it your studio name or "Primary". It's up to you - this is really meant to differentiate readers should you have multiple card readers in your studio location.
Once you press "OK", the card reader should connect with Sonido to link the reader, then you'll see the new reader in your Sonido Settings with a green label showing "Online". The card reader will need to be labeled "Online" in order for transactions to process.
If you turn off your card reader or disconnect it from the internet, you'll find that it will no longer show as "Active" and it will need to be reconnected before it can be used.
TAKING PAYMENTS
Now that your card reader is connected, you can take payments using the card reader! Sonido is serving as the "Point of Sale" system, and you'll need to indicate which payment you are collecting before using the card reader.
There are a couple locations within Sonido where you can now take a payment.
- From the Invoice List view by select the quicklink for taking a payment on a selected Invoice and selecting "Pay with Terminal Reader".
- From opening an Invoice and selecting the "Add Payment" option in the header and selecting "Pay with Terminal Reader".
- From the Project page where you can open the Financials tab, select the "Make Payment" button for an Invoice that has a balance, and select "Pay with Terminal Reader".
In any of these situations, you will see a dialog appear to initiate the payment. You will select the appropriate card reader that you want to use (it should default to the appropriate card reader if you only have one created in your account) and enter the payment amount that you wish to take; it will default to the remaining balance, but you can change the payment amount if necessary.
Once you select the button to proceed, you will see the connected card reader update the screen and prompt for the card to be used for taking payment. Your client can tap their card chip to the card reader or slide their card into the card reader to process the payment. It will only take a moment, and once the payment is successfully captured the card reader will indicate such, and Sonido will also update accordingly to show that the payment has been captured.
Congratulations! Your Stripe integration is now live, and you are ready to begin accepting automated payments from your Sonido invoices!
Additionally, your new card reader terminal allows you to customize the display screen. you can add your studio logo or another image to personalize your reader as you'd like. Learn more on the Stripe website.
